Find Available Appointment

 

Utilities -> Scheduler

 

A powerful feature of the Scheduler is its ability to find available appointment slots. However, this feature's utility relies on how well staff members establish rules for their availability with the Set My Availability feature.

 

To use this tool, click on Find Available Appointment on the top of the Schedule.

 

You can also access this form by selecting Schedule Appointment from the Demographics Actions Menu.

 

Form Layout

 

FIELD NAME

FIELD DESCRIPTION

1. Building Select All Locations or choose a specific location

2. From / To Date

Enter the date range you would like to search over. You can also click on the calendar icon for shortcuts such as 'Today', 'Tomorrow', 'This Week', 'Next Week', 'This Month', or 'X Months From Now'. 

3. Duration

Enter the appointment length.

4. Start Time

Enter a start time for the time range to search.

5. End Time

Enter an end time for the time range to search.

6. Event Types

A list of the Event Types you want to search for. If you’re not searching for a specific Event Type, check the box for All Event Types. This will also locate available slots that have no associated Event Type.

7. Credentials

A list of the staff credentials. If you’re not searching for a specific credential, check the box for All Credentials. Otherwise, uncheck the All Credentials box, and select the desired credentials. The Staff List to the right will update by selecting only the staff that meet the chosen requirements.

8. Staff

A list of the staff members whose availability you would like to search. This list will only display names of staff who have given you permission to view or edit their schedule.

10. Search When all filters have been entered, select Search to find available time slot
11. Credential-Required Payor Choose a payor from this list of payors who require provider-level credentialing. 
12. Reset Form Click here to clear your previous selections.
13. Favorites This section allows you to add your selection as a favorite view to easily recall at another time. 

 

Once you have entered the filters, click the Search button. The list on the bottom of the form will display available time slots. Double-clicking one of the entries will bring up the schedule and set the Event Detail Form to link to the selected staff member for the selected date and time range.

 

Note: Although you will be able to view the availability of staff who have given you view only permissions to their schedule, you will not be able to create events for them. Double-clicking an available time slot for one of these staff will display a message reminding you that you do not have permission to schedule for that staff member. Your permissions for each staff member are displayed in the Staff List.
