Event Details Form
Utilities -> Scheduler
The Event Details form is where you enter all the information the system needs to schedule an event. It gives you a broad array of options for configuring appointments. Here are the fields you can manipulate:

1. Start Date |
The date the event starts. |
2. End Date |
The date the event ends. |
3. Start Time |
The time the event starts. |
4. End Time |
The time the event ends. |
5. All Day Event |
Check this box if the event does not have a defined start and end time. |
6. Description |
A description for the event that will be displayed on the schedule. |
7. Location |
Select a pre-stored building/room or type in the event location. |
8. Link to Patient |
A list of patients linked to this event. Click the to add a patient to the event. Click the to remove a patient from the event. |
9. Link to Staff |
A list of staff linked to this event. There are multiple ways that you can link a staff member to an event: 1. Click the to add a staff member to the event. 2. Click the dropdown arrow to open up more options : A) Select User: Choose this option to link a single staff member B) Select Distribution List: Choose this option to select a group of users from a distribution list. Click here for more information on how to create a Distribution List. C) Select All: Choose this option to choose all staff members. D) Me: Choose this option to add yourself. |
10. Link to Group |
If the event is for a group appointment, select that group from a list. For more information on setting up group appointments, please see Recording Group Appointments. |
11. Event Type |
A category for the event which comes from the Schedule Event Type setup using the Maintenance Menu. |
12. Show Time As |
Select from Free, Tentative, Busy, or Out of Office. Depending on the selection, the event will contain a different colored bar on the left side of the event cell when displayed on the schedule. If “Free” is selected, the event will not be considered for conflict checking. For more information, see Scheduler Coloring |
13. Personal Event |
Check this option if you are saving a personal event (that should not be displayed in appointment reports). Personal events will include a small lock icon when displayed on the schedule. |
14. Event Reviewed |
Place a checkmark here if this event has been reviewed. For more information, please see Event Review. |
15. Recurrence |
This is where you can schedule event recurrences. For more information, please see Setting a Recurrence. |
16. Directions |
If you are traveling to get to this appointment, you can enter directions here. |
17. Distance (miles) |
If you are traveling to get to this appointment, you can enter the travel distance here. |
18. Time (minutes) |
If you are traveling to get to this appointment, you can enter the travel time here. |
19. Service |
If this event is an appointment, you can note the service to be provided here. |
20.Program |
If this event is an appointment, you can note the associated program here. |
21. Payor |
If this event is an appointment, you can note the responsible paying party here. |
22. Notes | Enter any additional notes about the event. This will display when you place your mouse over an event on the Schedule. |
23. Create Linked Appointment | Create Linked Appointment: For more information, please see Create Linked Appointment. |
24. Cancel & Create Linked Appointment | Cancel & Create Linked Appointment: If you choose this option, the event will be canceled and the Patient Contacts record will open so that you can create another appointment. Note: If you perform this function on an event with multiple linked patients, you will be directed to the Group Appointment record. |
25. Appointment Reminder Card | Appointment Reminder Card: You can choose to Print or Email your reminder cards. Note: You will not be able to configure the output of these cards.
