Scheduler Display
Once your appointment reminder service is enabled, you will notice the following changes to the Scheduler:
Phone Icons:
A colored phone icon will display on the events as follows:
Each colored icon indicates the status of the reminder:
Icon Color | Meaning |
White | No call/SMS Scheduled |
Green | Appointment Confirmed |
Red | Appointment Canceled |
Blue | Message Left |
Yellow | Unable to reach patient (no answer, invalid phone number, error occurred) |
Note that if multiple patients are linked to an event, there may be multiple icons displayed. For instance, if one patient in a group therapy session confirmed and another received a voice mail, the display might look as follows:
There will be at most, one icon of each color displayed on an event. Therefore, if both patients had confirmed, you would only see a single green icon. Phone icons will display (and calls made) only if there is at least one patient and one staff linked to an event.
Event Detail Form
After each linked patient name, you will see one of the following call/SMS status codes:
Code | Meaning |
C | Confirmed |
X | Canceled |
M | Message Left (either VM is left on voice mail or live if patient answered but did not reply with a key press |
U | Unable to Reach |
S | Scheduled |
E | Error |
NC | Not Contacted Yet |
By placing your mouse over the patient name, you will see additional details, including a description of the status and event timestamp.
Event Listing
When viewing the event listing, two columns labeled "Reminder" and "Type" will display the reminder status and whether the reminder is a Call, SMS or Call + SMS.
A right-click option on a row will allow you to generate a reminder, cancel a reminder or mark the reminder status.
Resource List
When viewing the resource list for a patient, you may see an "(NC)" after the patient name. This indicates they have requested to not receive automated reminders. You can learn more about this feature in the section Preventing Automatic Calls/SMS.
