Configuring the Patient Portal Account

 

You can easily configure portal accounts for your patients. Go to the Patient Portal account setup form via one of these paths:
1) Patient Dashboard -> Patient Portal (top of the form) ->Configure Account
2) Patient Demographics -> Patient Portal Account (bottom right, below the Staff Assignments button)

You can assign an authorized representative on the Patient Portal Setup form as well.  Set the usernames of the authorized representatives by typing those usernames on this form (see #1 and #5 below). Enter First Name and Last Name fields and choose Access Type as "Authorized Representative" by selecting from the drop-down. You can also set the Access Permissions to allow the user access to only certain parts of the system, see #11 below.

 

Once you complete this form, the authorized representatives will receive an email notification with a link to change their password, which they can use to access the patient portal.

 

The Patient Portal Account Setup form looks like this:

 

Field  Description
1. Username Your username will go here. Your email is the preferred username. 
2. Wand Icon Click here to load patient information into required fields. 
3. First Name First name of patient.
4. Last Name Last name of patient
5. Access Type You can choose from "Authorized Rep" or "Self". You can use "Authorized Rep" if you were configuring an account to access a family member's information.
6. Force Password Change on Next Login Place a checkmark here to prompt the user to change their password upon their next login. 
7. Request Forms Used by staff to request forms through the Patient Portal. For more information, see Requesting Forms through the Patient Portal.
8. Save Save the record.
9. Delete Delete the record. 
10. New Create a new record. 
11. Account Permissions Select which part of ClinicTracker the user has access to.
12. User Management  Here you can access the User Management form to manage all portal users. You can disable users or force users to reset their password upon their next login from this form. You will also be able to view all enabled and disabled portal accounts.

 

After you configure the portal, ClinicTracker will provide you with credentials. It also copies the password to your clipboard so you can paste it in a notepad, email, or a Word document. Just press Control and V simultaneously. 

 

You can also copy the entire credential message by pressing Control and C.

 

If you need to change a password, you can do so on this form as well. You will select the username from the list and click on Reset Pwd:
