TRANSITION PROCESS FOR AUTOMATIC COPAY APPLYING

 

 

Transitioning Appointments - With Auto Apply Copay

This process is used to create claims in BillingTracker using the Patient Contact records in ClinicTracker while automatically applying any copayments that were previously collected.

 

  1. Go to BillingTracker
  2. Click Transition Appointments button in the upper left-hand corner

  3. Enter a Date Range and press Retrieve Appointments button
  4. Verify results are displayed

  5. Ensure Auto-Apply Copay is checked by going to: File -> Setup -> Options.


    and

  6. Enter a payment for a patient that is not fully disbursed and leaves a credit balance 
  7. Double-click an entry, normally the copay screen would be displayed, but since the patient has a credit balance and the auto-apply option is checked, the screen should just flash briefly and then let you know the appointment has been transitioned

  8. Click yes to the prompt to view the log
  9. Verify details are shown in the log
  10. Verify the last entry before transition succeeded is "Copay of $X successfully applied to service"
  11. X will be determined by the patient's copay http://help.clinictracker.com/service-specific-copay
  12. The same thing should happen if you select multiple claims and choose Transition Selected - Collect Copay
  13. If you choose Transition Selected - No Copay, then no copay will be applied, even though the auto-apply copay option is selected
