Patient Check-Out
This example describes the process checking out a patient including scheduling the next appointment and collecting the copayment.
- Access the Patient Dashboard
- The fastest way to access the Patient Dashboard from the ClinicTracker Main Screen is by clicking the My Patients widget title
- Note: For this method to work, you must have the PD setting enabled on the right side of the widget
- An alternative method for accessing the Patient Dashboard is by going to: Patients -> Patient Dashboard
- Use the find form to select the patient
- The fastest way to access the Patient Dashboard from the ClinicTracker Main Screen is by clicking the My Patients widget title
- Review Patient's Scheduled Events
- Navigate to the Session Info tab
- Determine if Patient has next Event scheduled
- If yes, skip to step 3
- If no, continue to step C.
- Click View Details to open the Scheduler
- At the top of the Scheduler, click Find Available Appointment
- On the Find Available Appointment screen, adjust the criteria as appropriate
- Click the Search button
- Double-click the desired time slot in the results list
- A Scheduler Event with the selected staff member and time slot will open
- Enter Description, Location, Service, Program, and Payor
- Click Appointment Reminder Card if necessary
- A Scheduler Event with the selected staff member and time slot will open
- Click Create Patient Contact button
- A Patient Contact record will be displayed on screen
- Place cursor in the Auth Code field to have system auto insert applicable Insurance Authorization code
- Click Yes to confirm
- Click the save button
- Close the Patient Contact screen
- Close the Scheduler to return to the Patient Dashboard
- A Patient Contact record will be displayed on screen
- Navigate to the Session Info tab
- Collect Copay
- On the Patient Dashboard, navigate to the Financial Info tab
- Review the Copay information and Assigned Balance to determine amount to collect
- Click Collect Copay button
- On the Collect Copay screen, enter Amount, Method, and Reference Number
- Click Collect Copay
- Click Yes to print receipt if necessary
- On the Patient Dashboard, navigate to the Financial Info tab
- Check Patient Out
- On the Patient Dashboard, navigate to the Session Info tab
- Under the Scheduled Events Within Range window, right-click the Event
- Select Check-out
