Patient Check-Out

This example describes the process checking out a patient including scheduling the next appointment and collecting the copayment.

 

  1. Access the Patient Dashboard
    1. The fastest way to access the Patient Dashboard from the ClinicTracker Main Screen is by clicking the My Patients widget title

      1. Note: For this method to work, you must have the PD setting enabled on the right side of the widget 
      2. An alternative method for accessing the Patient Dashboard is by going to: Patients -> Patient Dashboard
    2. Use the find form to select the patient

       
  1. Review Patient's Scheduled Events
    1. Navigate to the Session Info tab
    2. Determine if Patient has next Event scheduled
      1. If yes, skip to step 3
      2. If no, continue to step C.
    3.  Click View Details  to open the Scheduler
    4. At the top of the Scheduler, click Find Available Appointment 
    5. On the Find Available Appointment screen, adjust the criteria as appropriate

       
    6. Click the Search button
    7. Double-click the desired time slot in the results list
      1. A Scheduler Event with the selected staff member and time slot will open
      2. Enter Description, Location, Service, Program, and Payor
        1. Click Appointment Reminder Card if necessary
    8. Click Create Patient Contact button 
      1. A Patient Contact record will be displayed on screen 
      2. Place cursor in the Auth Code field to have system auto insert applicable Insurance Authorization code 
      3. Click Yes to confirm 

         
      4. Click the save button
      5. Close the Patient Contact screen
      6. Close the Scheduler to return to the Patient Dashboard
  2. Collect Copay
    1. On the Patient Dashboard, navigate to the Financial Info tab

       
    2. Review the Copay information and Assigned Balance to determine amount to collect
    3. Click Collect Copay button
    4. On the Collect Copay screen, enter Amount, Method, and Reference Number
    5. Click Collect Copay
    6. Click Yes to print receipt if necessary
  3. Check Patient Out
    1. On the Patient Dashboard, navigate to the Session Info tab
    2. Under the Scheduled Events Within Range window, right-click the Event
    3. Select Check-out
