About Adding New Related Documents To Locked Forms

In some cases, you may need to add important Related Documents to your locked custom forms. When a document is added after the form is locked, users can add extra notes to the comments section of the form, but not replace or remove the document itself. Additional audit log entries will be created to track post-lock Related Document activities. 

Enable Options Setting To Add Related Documents To Locked Forms

Go to Admin Config > Options > Preferences: Preferences > Allow Related Documents to be added to Locked Custom Forms.

  • Check the box that says Allow Related Documents to be added to Locked Custom Forms.
  • Click Apply or OK.
  • Click Save to Accept the Changes.

Adding New Related Documents To Locked Forms

To add new Related Documents and file attachments, locate the custom form and click the green plus sign.

Next, you will need to enter the required information for the file attachment. 

  1. Document: Select the document type from the list.
  2. Description: Enter a brief description to display the record.
  3. File Path: You have two options for locating documents to import.
    •  Locate an Existing File: If the file you want to import already exists on your computer or a drive you have access to, click the scanner icon to display a File Dialog. Locate the file using the file dialog and double-click it, or select it and hit the Save button.
    • Scan and Import a File: If you wish to scan a file and then import it into the Related Documents Module, click the scanner icon. Once you complete the scanning process, the file path will be automatically filled in for you. For more information, see the section on Scanning Documents.
  • Comments: Enter any additional comments on the document.
