  • Notify Linked Staff on Schedule Event Creation: If this option is enabled, any time an event is created, all other linked staff (not including the user making the modification) will receive a notification through the message board.
  • Notify Linked Staff on Schedule Event Edit: If this option is enabled, any time an event is modified, all other linked staff (not including the user making the modification) will receive a notification through the message board. A justification for the change will be required prior to saving any changes for events linked to other staff members.
  • Display Intake Notes in Event Preview: By default the notes entered on the first tab of the Demographic form will be shown at the end of the scheduler's Event Preview window. This option will allow you to turn that feature off.
  • Require Manual End Time for Linked Appointment: When creating a linked appointment from a scheduled event, the start and end times will be automatically populated based on the scheduled time. If this option is enabled, the end time will be "unchecked" which would prompt you to manually set the end time. This may be useful to comply with CMS requirements for exact times to be documented, as it will require the time to be explicitly set before saving.
  • Default Linked Appointment Status to Pending: Generally when you create a linked appointment from a scheduled event, the status will be ‘Showed Up’. Check this option to default the status to ‘Pending.’
  • Default Linked Appointment Supervisor to Latest: When creating a new Patient Contacts record from Scheduler, the system can default to the last supervisor listed on the most recent Appointment record.
  • Default Program for Linked Patient: When creating an event for a patient, set the Program to the most recent open Program Assignment. Note: This setting will affect Patient Contacts as well.
  • Check-In Prompts for Copay Collection: If this option is enabled, the system will ask you if you want to display the copay collection form whenever you check in a patient anywhere throughout the system.
  • Days to Retain in Live Schedule: Old schedule data is moved to an archive file on a nightly basis. The value entered in this setting will determine how many days prior to the current date will be retained in the live schedule and what will be moved to the archive. Keeping less data in the live schedule will have a significant impact on the speed of viewing and working within the scheduler. Archived events are always still accessible in the Scheduler Archive. Note: The archival process occurs overnight. If you adjust this value, you should notice the change take effect the next day.
  • Days to Scan Ahead for Treatment Plans: Show an icon on scheduler events for patients with a treatment plan due in this number of days.
  • Days to Scan Ahead for Next Appointment: Enter a number here for ClinicTracker to scan ahead when searching for next appointment. This field (NextScheduledAppointmentDate) is able to used in custom reports when using the Patient Demographics report sources.
  • Patient Portal Appointment Search: Default To Primary Payor if available: By default, the Patient Portal Appointment Search feature will search for "- All Payors -." Check this option to instead default to the primary payor. Note that this payor dropdown will only show if the patient has at least one payor that required payor-level credentialing.
  • Patient Portal Appointment Search: Perform secondary search: When a patient searches for an available timeslot for a specific payor with payor-level credentialing and no results are returned, automatically perform a secondary search for all available payors. If the secondary search returns results, "Here is a list of available appointments" will be displayed rather than "Here is a list of available appointments for your search criteria."
  • Patient Portal Limit Number of Results Per Time-slot: This limits the number of results displayed in each time-slot when searching for an appointment on the portal.
  • Default Start Time In Find Available Appointment (HH:MM AM/PM): This will set the default Start Time in the Find Available Appointment Form on Scheduler. (Leave blank to default to 8:00 AM)
  • Default End Time In Find Available Appointment (HH:MM AM/PM): This will set the default End Time in the Find Available Appointment Form on Scheduler. (Leave blank to default to 5:00 PM)
  • Default Duration In Find Available Appointment: This will set the default Duration in the Find Available Appointment Form on Scheduler. (Leave blank to default to 30 Min.)
  • Automatically create linked appointments from scheduled events in real-time.: Enable this setting to automatically create linked appointments for qualifying events in real-time when they are created. Qualifying events would include events linked to an individual patient, not associated with a group, that has a service selected with the automatic linked appointment feature setting enabled in Service Input.
  • Automatically create linked appointments from scheduled events: Enable this setting to automatically create linked appointments a set number of days in advance of scheduled events. Note: Automation will only apply to services where you have enabled the "Auto-Create Linked Appointment" setting at Utilities > Maintenance > Service Input.
  • Automatically create linked appointments from scheduled events this many days ahead.: Determine the number of days prior to a scheduled event for the linked appointment to be automatically created.
  • Default Auto-Create Linked Appointment for New Services: Toggle the default value of the "Auto-Create Linked Appt." checkbox on the Service Input screen.
  • Patient Portal Find Available: Require searching for single event type: Enable this flag to prevent portal users from selecting more than one Event Type while searching for available appointments in Patient Portal.
  • Hide End Time on Printed Appointment Reminder: Select this option to display the start time without an end time on the appointment reminder cards created from the Event Detail screen.
  • Hide Gender Identity on the Find Available Timeslot Form (ClinicTracker): Select this option to Hide Gender Identity on the Find Available Timeslot Form (ClinicTracker).
  • Hide Gender Identity on the Find Available Timeslot Page (Patient Portal): Select this option to Hide Gender Identity on the Find Available Timeslot Page (Patient Portal).
